In today’s fast-paced world, small businesses need to be able to compete on every level. One of the most important components of any business is communication. Small businesses especially need to ensure that they are on the cutting edge of communication technology. For this reason, small business owners and managers should invest in high tech phone systems for small businesses.

High tech phone systems often use VoIP technology. VoIP stands for “Voice over Internet Protocol”.This systems transmits users phone calls over the internet, rather than through a PSTN. By investing in VoIP, business owners can ensure that, no matter where they are in the world, they can receive phone calls as long as they have an internet connection. This fact can be the difference between losing or gaining a client, between making or breaking a deal.

Phone systems using VoIP also have other benefits. With traditional phone systems, users are billed either by the minute or the second. Hoever, with VoIP, your phone call is broken down and sent through the interent via packets and reassembles at the receiving end. For this reason, phone calls are billed by the amount of data, or megabytes, used. The overall cost is typically cheaper than that of traditional calls.

One complaint many small businesses have with their phone system is the hassle of adding other lines. However, with VoIP, small businesses can transmit more than one call over a single broadband connection, eliminating the need for multiple lines entirely.

A phone system for small business also allows for the addition of other high tech features. This can include video chatting, conference calls, or even the ability to send a data file while conversing. These options can boost your overall productivity and performance by a large amount. You will be surprised, for instance, how much more personal telecommuting can feel, or how much closer your employees, whether they work in the New York or San Francisco office, will feel to each other.

VoIP also makes creating a secure telephone line much easier, as the information is already being digitized. VoIP systems have many features that are specifically tailored to companies who need to meet certain security protocols, like HIPPA, or for any company who appreciates their security.

Whether you’re looking to replace an old phone system for your small business or starting from scratch, a high tech VoIP phone system may be right for you.

VoIP office phone systems are flexible, feature rich systems that reduce telecommunication budgets without sacrificing voice quality or features.

In fact, VoIP has uses way beyond the capabilities of conventional phone systems such as virtual phone numbers, voice mail and fax forwarding to email, switching from Wi-Fi to cellular network, and more.

In spite of the strides in VoIP technology, some businesses have reservations about adopting VoIP. They worry about poorvoice quality, call hacking, losing service during internet outages, costs and complexity of implementation. In this article, we discuss how the advantages of VoIP beat the potential hurdles, and how to maximize your VoIP system.

Why choose VoIP systems?

VoIP service will undoubtedly add value to your business and drastically cut telecommunication expenses. Here is how it does it:

Progressing VoIP technology

Earlier, VoIP limited users to computer systems and patchy voice quality. Today’s regular phones (equipped with VoIP adapters) and IP phones promise high voice clarity, good mobility, and a variety of practical features. Businesses leverage existing networks for intra-office calls, leading to significant savings and improved employee productivity.

Business VoIP reduces telecommunication costs

Traditional phone systems need constant management and maintenance of expensive infrastructure as per industry regulations. With VoIP, businesses reduce implementation and maintenance overheads by using one network for voice and data. Moving the phone with the employees that incurs a charge of about $100 per head is now as simple as plugging an IP phone into another broadband network jack. For similar services, VoIP service vendors charge lesser too than traditional phone system vendors.

Use VoIP services wherever you are

An IP phone can be used wherever there is a high speed internet connection. Colleagues and clients can reach you whether you are at the office, your home, a hotel or even a friend’s place. This cuts down your cell phone expenses. A lot of VoIP systems include software that allows you to make and receive calls on your laptop with a headphone and a microphone.

Simple VoIP configuration

VoIP phone systems can be set up to forward voice mails and faxes to your email inbox and read emails into voice mail . You can easily manage your messages and mails at one place.

Virtual phone number

If you are making calls to customers outside your area, you may want to use a local number. With VoIP, you can have a virtual phone number with the desired area code.

VoIP improves productivity

Research indicates that VoIP systems improve productivity by almost 4 hours per employee per week. VoIP phone system features cut down on the time wasted in managing calls. Your VoIP phone number can ring concurrently on your landline and mobile phone before reaching voice mail, ensuring you never miss an important call.

Making the most of VoIP phone systems

As you can see, VoIP has much to offer. If you still have doubts, these tips will help you stay on top of them.

1. Use professional VoIP services

Though a standard VoIP phone system is fairly simple to install, hire a VoIP service provider for larger projects. Some network providers install and configure a VoIP solution provided by them.

2. Run a pilot project

Have a small group of people use the VoIP system and verify its usefulness to your business. Once you’re satisfied, implement it across the office. Retain your traditional phone system as a backup during this phase.

3. No missed calls with call forwarding

Configure VoIP phone system to forward unanswered calls to a cell phone or a landline or both. If there is a power failure, you won’t miss any calls till an alternative power source gets going.

4. Secure your network

Networks are always in danger of getting hacked. Protect your network from denial-of-service attacks and digital hackers. Make it a priority to update network security and to check it thoroughly at regular intervals.

VoIP phone systems are an economical option with all the advantages of an advanced telecommunications system. Small businesses can substitute travel with videoconferencing to save costs, use VoIP integrated call center applications, and other compelling benefits of VoIP. With latest wireless phones offering seamless switching between mobile and Wi-Fi networks, VoIP users can look forward to more services at affordable costs.

VoIP stands for Voice Over Internet Protocol and is a way for people to converse by voice using an Internet connection. Basically, you are using the Internet like you would a long distance telephone provider. Your voice is actually converted to a signal by your provider before it reaches its destination via the World Wide Web. There are a variety of benefits, as well as a few drawbacks, to this form of communication. First, let’s have a look at some of the benefits you will get when you use Voice Over Internet Protocol.

Flexibility is a major benefit of communicating with Voice Over Internet Protocol. You can make your calls right from your computer, special phone, or regular phone that is hooked up to an adapter. In certain places with wireless Web like cafes, airfields and libraries, you could be able to attach wirelessly and make your Voice Over Internet Protocol calls there as well without the requirement for an adapter. The required equipment for this type of service is easy for most anyone to acquire. All that you need is a PC with broadband Net service. For those not in the know, broadband refers to Internet service like DSL and cable. These days, most people already have this type of service, although a few are still on dial-up.

One of the finest things about Voice Over Internet Protocol is that many suppliers offer it for nothing. This means the end of dreadful long distance phone bills! Naturally, not every supplier offers this service for free. For instance, some permit free local calls but charge a tiny charge for calls outside of the neighborhood. Others may charge a fixed rate a month for the unlimited usage of the service. You can even hold conference calls with multiple users with this technology. In theory, if you have a broadband Internet connection, sound card and a way to speak and listen such as a microphone, speakers or headphones, you may not even need a long distance phone line.

Of course, there are a few disadvantages to VoIP. For example, you can only use it if your computer is on and connected to the Internet or if you are in the vicinity of wireless Internet with your computer turned on. You have to have the right software loaded and running, as must the person you are conversing with. Because Voice Over Internet Protocol does use your personal computer, you wouldn’t be ready to communicate this way in a power cut. For most, the advantages of communicating through Voice Over Internet Protocol far outweigh the disadvantages.

Jan Harris posted an article over at VoIP-News today that said that engineering and techie nerds in England have decided that VoIP is good for small business.

OK, she said it way better than that, but since she didn’t put any references in her article to where she found the information, I couldn’t check it out for myself. I even wandered around the British Computer Society’s website for about an hour trying to find a news release or white paper that coroberated the story, but couldn’t. Oh, well, it’s not like it matters that much anyway… we all know VoIP kicks ass and if your business is still spending money with AT&T, SBC or Qwest, you deserve to be losing money on your phone service.

If you do have a company, and are interested in VoIP, you can use Telerus’s comparison tool to price out VoIP PBX or VoIP Office type products for your business.
